Make your DingTalk even more efficient

QwenWork User Guide

Since its launch, QwenWork has been fully integrated into the DingTalk platform. In addition to supporting basic features like group summaries, document spreadsheets, calendar management, and email notifications, it also seamlessly connects over 25 business modules, including AI voice transcription, approval workflows, attendance systems, and Ding Drive storage. While each individual feature may seem simple, when used together, they can dramatically boost productivity.

This time, we’ve handpicked five high-frequency use cases, each accompanied by copy-and-paste prompts. From client meetings to internal processes, these tips will help you handle every task with ease.

01 Pre-Meeting Briefing

Let it automatically organize your materials for you

AI Voice Transcription × Email × Group Chats × Ding Drive

Before every meeting or client visit, you often spend hours sifting through past records—searching meeting notes, combing through emails, and tracking down relevant documents. It’s tedious and easy to miss key details. Fortunately, QwenWork can take care of this repetitive work for you: whether it’s transcribed audio from AI Voice Transcription, personal emails, customer-related conversations in group chats, or project files stored in Ding Drive, the system can pull everything together, saving you the hassle of manual compilation.

Prompt · Ready to Copy

Next Tuesday, I’m meeting with Client XX. Please compile three items into a pre-meeting briefing: ① The transcript from our last meeting; ② Emails exchanged with them over the past month; ③ Files and links mentioning this client in our project group. Structure the briefing into four sections: what we discussed last time, outstanding issues, their stated requirements, and a list of relevant documents. Save it as a DingTalk document and send it to me.

This prompt works for preparing presentations, launching projects, or conducting periodic reviews—any scenario involving data collection and consolidation.

Security Reminder: QwenWork strictly adheres to your access permissions, only reading groups you’re part of, Ding Drive files you have access to, and your personal AI transcription data, ensuring your information stays private.

02 Group Knowledge Inventory

Turn chat history into a usable database

Group Chats × Ding Drive × Knowledge Base

A project group that’s been active for years accumulates hundreds of documents and links, yet finding a specific piece of information feels like searching for a needle in a haystack. Let QwenWork transform scattered data into an indexed list with clear sources, turning your past communications into reusable knowledge assets.

Prompt · Ready to Copy

Create a document index of all files and links shared in Group XX this month. For each item, note who posted it, when, and include a brief description. Arrange chronologically in reverse order, separating documents, spreadsheets, and external links. Before archiving, send me the draft for review.

Advanced Tip: Set up a monthly automated task on the 1st to regularly inventory the previous month’s content, keeping your knowledge base constantly updated. Years of accumulated group chat data will become easily searchable.

Chat logs shouldn’t be buried by time. With smart tools, they can come alive and become a shared repository of team wisdom.

03 Weekly/Daily Report Automation

Turn spreadsheets into dashboards, auto-posted to groups

AI Spreadsheets × QW Pages × Group Chat Bots

In cross-departmental collaboration, the most frustrating part is often not tracking progress but the daily grind of manual reporting: screenshots, summary writing, and posting to group chats. Now, you don’t have to do any of that yourself! QwenWork handles the entire process with a single click:

1. Read data from the AI spreadsheet

2. Generate a web-based dashboard

3. Publish it online via QW Pages

4. Have a bot automatically share the link in the group

While the process sounds complex, setup takes just four steps.

Step 1: Establish a Unified Data Source

The dashboard’s appearance depends on your AI spreadsheet’s structure. Spend about ten minutes optimizing the columns: task, owner, status (not started / in progress / completed / blocked), deadline, and notes. Each column should correspond to one data point—keep it simple and practical.

Step 2: Ensure Accurate Spreadsheet Reading

Send instructions in two stages: first confirm what was read, then proceed.

First Instruction · Ready to Copy

Read the DingTalk AI spreadsheet for Project XX’s progress. First, tell me how many columns and rows you see, and how many entries fall under each status. Report back before creating the dashboard.

After receiving the response, double-check the column names, total row count, and status distribution.

Second Instruction · Ready to Copy

Based on the data just read, create an HTML web dashboard with three sections: overall progress, today’s updates, and blocked tasks. Make sure it’s readable on mobile devices. Show me a preview first.

During the preview, carefully check the number of “completed” items and scale the layout down to mobile size to spot any formatting issues. Once everything looks good, publish it:

Publishing Instruction · Ready to Copy

Use QW Pages to publish this dashboard as an online page.

Step 3: Use a Bot to Share the Link

Depending on whether the group already has a bot, proceed in one of two ways.

Scenario 1: Group Already Has a Bot

Bot Posting Instruction · Ready to Copy

Have the Project XX group bot post the newly published web link, along with a short daily summary of no more than 100 words.

Scenario 2: No Bot Yet

You can directly instruct QwenWork: “Create a bot in DingTalk named ‘Project XX’ and add it to the Project XX group.”

Step 4: Set Up Scheduled Tasks for Daily Automation

Integrate the above process into a scheduled task. Since scheduled tasks run independently, include all parameters in the instruction.

Scheduled Task Instruction · Ready to Copy

Read the DingTalk AI spreadsheet for Project XX’s progress. Update and post the daily report dashboard according to this structure: overall progress, today’s updates, and blocked tasks—optimized for mobile viewing. Publish it as a QW Pages online page, updating the previously posted dashboard instead of creating a new one or sending another link to the group. After completion, have the Project XX group bot send a message: a 100-word daily summary with the dashboard link attached. If the spreadsheet reading or group posting fails, report the cause—don’t skip silently.

Once set up, the group will receive a daily bot message with a link to an instantly updated HTML dashboard—clear, interactive, mobile-friendly, and without modifying the original AI spreadsheet.

04 Attendance Reconciliation

Automatically reconcile your attendance records at month’s end

Attendance × Approvals

QwenWork doesn’t just write and summarize data—it deeply integrates with DingTalk’s OA system, querying personal attendance details, vacation balances, overtime compensation policies, and even drafting approval requests. This ability to move beyond “seeing data” to truly connecting with the system sets it apart from ordinary generative AIs.

Prompt · Ready to Copy

Please check my DingTalk attendance records for this month up to today, including: regular attendance days; late arrivals, early departures, and missed punch records; leave, outings, business trips, and overtime entries; current shift and attendance group; remaining annual leave or other eligible vacation balances; and any rules related to tardiness corrections or overtime. First, generate an attendance overview, then list abnormal entries by date, noting which ones might require tardiness correction, leave, outing, or overtime approvals. Only query and analyze—do not submit approvals automatically.

In the future, routine tasks like reconciliation can be confidently handed over to QwenWork.

05 Batch Approval Management

Consolidate first, decide later—approve with confidence

Approvals

Many people tackle approval tasks in batches during spare moments, but the challenge lies in ensuring each request is reviewed thoroughly and approved soundly.

QwenWork can pull all pending approvals under your name, aggregate and sort them by desired criteria, transforming scattered to-dos into a structured data view.

Prompt · Ready to Copy

Extract all my pending approvals and sort them by amount, from highest to lowest. Separate those over 10,000 and highlight them in red. Keep only applicant, purpose, amount, and submission time for each entry, removing unnecessary formatting. Combine small-value procurement requests within the same category and report a total amount.

Dozens of requests are instantly condensed into a clear preview table, making it easy to identify priorities at a glance.

Final Summary

The true value of QwenWork lies not in text generation alone, but in its deep integration with the DingTalk ecosystem—understanding your group chat context, mastering document content, and navigating approval workflows and schedules. It weaves together fragmented information, automating tasks that once required step-by-step manual effort. Repetitive processes that once consumed valuable time can now be entrusted to it.

A practical guide to boosting efficiency, empowering every user to master their own intelligent assistant.
